§0  /  Elicivia — for Business Analysts

Every requirement,
traceable to the moment
it was said.

Elicivia turns Business Analysis meetings into structured artifacts — requirements, stakeholder maps, use cases, process models — with every extracted element linked back to its source in the transcript.

[00:14:52]Philip: So procurement, warehouse, finance each get a landing page.
[00:15:41]Axel: Governance says we need to enforce role-based visibility across the repository.

§1  /  The problem

A 90-minute stakeholder workshop takes six hours to write up. The requirements you draft on Wednesday are the ones you'll defend on Friday. The audit trail lives in your head, or on paper, or nowhere.

§2  /  How it works

Record, review, ship.

STEP 01

Record or upload

Record in-app or drop in a meeting file up to several hundred megabytes. Audio saves to your own device — Elicivia never keeps it at rest.

STEP 02

Extract structure

Elicivia transcribes with speaker attribution, then extracts the artifacts your project needs — requirements, stakeholders, use cases, process steps, ambiguities, conflicts.

STEP 03

Approve and export

You review, edit, approve. AI suggests; the BA decides. Export to Sparx EA, BPMN 2.0, or Excel for your existing toolchain.

§3  /  What you get

Four analyses. Three exports. One record of truth.

Analyses

  • BABOK
Requirements User stories, backlog items, acceptance criteria — attributed to speaker and timestamp.
  • Concepts
Business Concepts Domain glossary, scope-aware — cascades product, project and session context.
  • Use Case
Use Cases Actors, main flows, alternatives, extension points.
  • Process
Process Mapping Activities, gateways, data objects, data stores — ready for BPMN.

Exports

  • Sparx EA
XMI 2.1 Import directly into Sparx Enterprise Architect and Prolaborate.
  • BPMN
BPMN 2.0 XML With data objects and data stores. Opens in Camunda Modeler and comparable tools.
  • Sheets
CSV / XLSX For backlog imports, stakeholder registers, and offline review.
§4  /  Why this is different

Traceability and provenance, by default.

Every requirement links back to who said it.

Requirements are indexed with REQ-{seq} IDs and traced to the transcript span and speaker they came from. AI-suggested links between requirements, stakeholders and use cases go through an approval inbox with cycle detection. Nothing gets added silently.

Stakeholders are a registry, not a table.

A project-level Stakeholder Registry aggregates evidence across sessions. Each canonical stakeholder row expands to show every session that mentioned them, what was said, and what Elicivia detected — with a one-click "Use this" to promote evidence into the canonical record. AI suggests; the BA approves. Every time.

§5  /  For the person overseeing the work

Confidence that the discovery was done well.

Requirements enter your backlog. A Business Analyst takes one, sits down with stakeholders, comes back with an analysis. That's the flow. Two problems live inside it: the workshop-to-write-up step burns hours, and you have no clean way to see whether the discovery was thorough enough to defend downstream.

Elicivia sits inside that flow. Your BA links a session to the item it belongs to — Jira, Azure DevOps, ServiceNow, or whatever your team already uses — records the workshop, and gets structured artifacts back within minutes. You see, at a glance, which items have complete discovery: the right stakeholders consulted, the ambiguities resolved, the requirements traced to real conversations rather than one person's summary.

Nothing in your tools changes. Your BA's job doesn't change. What changes is how much of it happens during the meeting instead of after.

§6  /  Who built this
"I built Elicivia because I was tired of turning a good workshop into a bad Word document. And because if AI is going to help us, it needs to show its work."

Elicivia is built by a working Business Analyst and Business Architect. It comes from the daily reality of stakeholder workshops, requirements traceability across three tools, and defending a decision six weeks later with a folder of screenshots.

Every design choice — Model B session freezing, the AI-suggests-BA-approves boundary, the traceability register — is a decision that had to earn its place in a real project workflow. Nothing on this page is speculative.

§7  /  Security and privacy

Serious data. Serious posture.

Audio is user-owned

Meeting recordings live on your device. Audio touches Elicivia's infrastructure transiently, for the duration of transcription only, then is deleted with retry and logging.

EU-region infrastructure

Application and database run in the EU. Where sub-processors are US-based, transfers are covered by the EU Standard Contractual Clauses.

Multi-tenant isolation

Every query and every stored object is scoped to your organization. No cross-organization access is possible through the product.

GDPR and DPA

Elicivia acts as processor; your organization stays the controller. A Data Processing Agreement is available on request before any customer relationship starts.
